DMS Travel Allowance Paused

The DMS Travel Allowance is paused effective Monday March 24, 2025. No travel expenses incurred after this date will be eligible to be covered by the DMS Travel Allowance. 

How to Apply

Attending a research conference and collaborating with colleagues at other institutions is an integral part of the graduate research experience. As in incentive to encourage this experience for personal enrichment, each DMS student is offered a one‐time travel fellowship of $600.

Travel should be relevant and related to the student’s studies and/or research interests as a graduate student. Students will need to submit a request form identifying the relevant dates, destination, and purpose prior to travel. The request will be reviewed and approved by DMS finance and the student’s academic advisors before payment.

This fellowship supports independent enrichment and should not be used to support travel for University business. The travel fellowship may be supplemented by funds provided by the student’s advisor or other awards, if available and secured by the student. Any unsupported costs are the student’s personal responsibility. Students are responsible for making all travel arrangements and must coordinate appropriate leave time with classes and lab work. Students should retain documentation of travel expenses, which may be requested by DMS if necessary.

Eligibility Requirements

  • You must be a registered student in good academic standing in one of the six HMS OGE PhD Programs
  • All travel should be completed prior to the date of your defense.
  • The Travel Fellowship Request Form must completed with the required approval signatures prior to travel. A W‐9 form should also be completed at this time so you may be added to our A/P system.

 

Payment Method

  • After the return and approval of the Travel Fellowship Request Form a payment will be initiated for you by the HMS OGE Finance Office.
  • The payment will be treated as additional stipend and should be considered taxable income.
  • Students who currently receive a stipend will receive the $600 payment in their monthly stipend check. Students who are paid salary through a Harvard department will receive a separate stipend check on/near the 1st day of the next possible month.
  • The dates of these payments will vary based on the request date and payroll deadlines. In most cases, you should receive payment within 4‐6 weeks.
